Job Overview

The Grants Coordinator plays a crucial role in leveraging funding opportunities through prospecting, proposal development, donor management, and subaward management. Under the supervision of the Grants Manager, this role focuses on preparing and submitting institutional proposals to public and private donors, primarily supporting IRC San Jose’s programs and providing additional assistance to three other offices and Immigration programming.

Major Responsibilities

Grants Management

  • Conduct prospecting for new funding opportunities and prepare proposals and budgets for local foundations and potential private donors.
  • Lead concept note, proposal, and budget development ensuring high-quality standards and coordination with various stakeholders.
  • Coordinate with Finance and Program teams for partner vetting and agreement development according to IRC’s protocols. Grants Management (Post-Award)
  • Negotiate agreements with donors and coordinate grant opening and closing meetings.
  • Modify budgets as requested by donors and ensure proper tracking of incoming restricted funds.
  • Lead post-award processes to ensure sub-awardees’ contracts align with program goals and comply with Finance and RAM requirements. Secondary Duties
  • Collaborate with Finance and Program staff to prepare reports for grantors.

Job Requirements

  • Bachelor’s degree in non-profit management or related field preferred, or equivalent work experience.
  • Three+ years of professional experience in proposal writing, budget management, and log frame development preferred.
  • Strong ability to work autonomously while collaborating with diverse teams to meet deadlines.
  • Excellent writing, research, and organizational skills.
  • Proficiency in Microsoft Office and project management applications; familiarity with Asana a plus.
  • Familiarity with Northern California non-profit/philanthropy environment and refugee resettlement services preferred.

Language Skills

  • Proficiency in written and spoken English required.

Working Environment

  • Standard hybrid office environment with occasional travel to other regional sites required.
