The Operations Coordinator plays a vital role in coordinating operational functions for the Abilene office of the International Rescue Committee (IRC). This position is responsible for ensuring a well-functioning, compliant environment for staff, clients, and partners. The Operations Coordinator oversees safety and security matters, information technology, supply chain, facility management, reception, and interpretation management.

Major Responsibilities

  • Safety and Security (S&S): Act as the primary focal point for day-to-day S&S matters, coordinate incident management, and develop office-specific S&S onboarding materials.
  • Information Technology (IT): Serve as the primary point of contact for IT and communications infrastructure, educate staff about IT support resources, and address service disruptions.
  • Supply Chain: Manage procurement and supply chain activities, order supplies, coordinate servicing and repairs, manage vendor billing, and coordinate fleet management.
  • Facility Management: Oversee office and equipment leases, coordinate repairs and improvements, allocate workspaces, and ensure smooth functioning of office infrastructure.
  • Reception Management: Coordinate front desk schedule, train new staff, interns, and volunteers, and ensure efficient reception operations.
  • Interpretation Management: Recruit, hire, and onboard interpreters, supervise interpreter team, review time sheets, and allocate interpreter time.

Job Requirements

  • Work Experience: Minimum 3 years of experience in managing administrative functions.
  • Skills and Competencies: Highly organized, strong problem-solving skills, ability to manage multiple priorities, excellent communication skills, proficiency in Microsoft Office suite.
  • Education: Bachelor’s degree or equivalent experience required.
  • Language Skills: Fluency in English required.

Preferred Experience & Skills

  • Prior people management experience preferred.
